08.05.2024 – Launch of the latest version of the Verfolgen Brief (mail tracking) service

Details of the new version:

  • Simplified document retrieval in "Verfolgen Brief - free item tracking" and "Verfolgen Brief - franking machines": It is no longer necessary to enter the recipient's postal code when retrieving the delivery document for registered mail if you stated your customer number (EKP/UCP) when posting the item with a posting list.

Details of the new version:

  • Substantially improved address quality for international items to Austria and Switzerland: Mail item scanning results will now be compared with the destination country address registry, qualified, and then displayed in a structured format in the Verfolgen Brief (mail tracking) service for franking machine customers.
  • The Free Shipment Tracking shipment list allows you to search for 50 shipments at the same time (separated by a space or comma). This includes shipments with an additional letter service, such as registered mail, registered mail internationally or priority, postal delivery orders as well as shipments with internet stamp, postage stamp or franking machine franking (if a contract for "tracking letter franking machines" was concluded at the same time).
  • Initially the shipments are sent after date 1. Scan displayed sorted in descending order. The search result can be sorted ascending or descending using each column. The shipment list can be exported as CSV.
  • Shipment details can be accessed using the red arrow on the right. In addition to the detailed shipment history in the "Promotions" area, you will find the option of a PDF download of all shipment information for the respective shipment. For shipments with the additional service of registered mail or registered mail with return receipt, the "Show delivery receipt" campaign is also offered.
  • The "Free shipment tracking letter" function is not automatically available to users of the tracking letter franking machine or tracking letter partial service. It can be easily applied for via the additional product booking tile in the business customer portal.

The new version in detail:

  • New KPIs in the shipment overview: We will now provide you with KPIs on the status of your shipments in the shipment overview. The bars in the graphic show at a glance the number of shipments in a given status.
  • Optimized search: Partial word searches can now be performed. Searching for "Muster", for example, will also find the shipment with the recipient name "Mustermann". 
  • Information on sustainable transportation added to PDF download: Make a statement about your own commitment to climate protection by showing your sustainable credentials as a Deutsche Post customer. After all, Deutsche Post has been transporting all domestic and international letters with GoGreen since 2022 - automatically offsetting all carbon emissions in the process.

The new version in detail:

  • Direct display of shipment status for Einschreiben (registered mail): From now on, a short message detailing the current shipment status will be displayed directly in the shipment list. The link to query shipment status will no longer be available. The link to query the delivery document will, however, still be available under the shipment details.
  • Shipment history for Einschreiben (registered mail): Under the shipment details you can now find a detailed shipment history for your registered mail item.
  • Einschreiben (registered mail) PDF now available to download: A PDF download of all shipment information is now also available for Einschreiben (registered mail) items under Shipment details > Actions.

Questions about "Verfolgen Brief Frankiermaschinen" (Mail tracking franking machines)

"Mail tracking franking machines" is a service offered on the Post & DHL Business Customer Portal that gives franking machine customers access to a new tracking option for letter mail items (with and without additional services).

Mail tracking offers transparency about your daily outbound mail items, in two convenient forms:

  • A dashboard that includes the most important aggregate performance indicators for your mail items.
  • A list of your mail items that includes detailed mail tracking and recipient data for each item.

This might be due to various reasons:

  • When you entered your user data on the Post & DHL Business Customer Portal, you did not select any (or you did not select the correct) franking machines that will enable the desired item data to be displayed in mail tracking. The relevant franking machines must be selected for the system to provide data on your items. Please check your user configuration settings under "Benutzer verwalten" (manage users).
  • The franking machine you use to frank your items does not match the one selected in your user configuration settings. If you have borrowed a franking machine (for example, because your own machine is currently under repair), the items you frank with it will not show up in "mail tracking franking machines".
  • Mail item data is only provided for the franking machines that have been selected in your user configuration settings. Please check your settings. If you do not have the permissions to change these settings, contact the person in your company with the relevant administrator rights.
  • Excluded are small packages, books and merchandise shipments, as well as shipments posted under partial services

Basic mail tracking documents the processing of your mail item at the initial inbound mail center and the destination mail center. It does not track whether your item was successfully delivered or not.

In this case, tracking data for letter mail with additional services includes information on the delivery of the item.

An additional 1D barcode must be attached for this. Depending on the producer's model, it is possible to print the barcode directly on the item (integral printing) when using additional mail services such as registered mail. In this case, an additional 1D barcode label does not need to be affixed to the envelope.

When you post items with additional services such as registered mail or cash on delivery that are not suitable for machine processing and that therefore undergo manual sorting, we recommend integral printing so that the items are displayed in "Verfolgen Brief Frankiermaschinen" (mail tracking franking machines) with the higher quality mail tracking function. Without integral printing, these items are displayed with basic tracking as shipments without additional services.

Yes, the additional 1D barcode still has to be attached to registered and COD items so that we can provide the promised service. Depending on the producer's model, it is possible to print the barcode directly on the item (integral printing) when using additional mail services such as registered mail. Integral printing is recommended especially when you post items with additional services such as registered mail or cash on delivery that are not suitable for machine processing and that therefore undergo manual sorting. In this way, we ensure that these manually sorted and scanned items can be displayed in "Verfolgen Brief Frankiermaschinen" (mail tracking franking machines) with the higher-quality mail tracking function. Without integral printing, these items are displayed with basic tracking as shipments without additional services.

Franking machines that have been purchased or leased and whose use by you has been specified in a contract that you have concluded with Deutsche Post AG.

The "SendPro Mailstation from Pitney Bowes Deutschland GmbH and "imnudoo" online franking from Frama Deutschland GmbH are not conventional franking machines, but rather advanced label printers that use the Internetmarke stamp.  Users of these systems do not have a franking machine contract and are not suitable for  "Verfolgen Brief Frankiermaschinen" (mail tracking franking machines). 

Please note: To preserve postal secrecy, customers may only use single-user franking machines with the service, i.e., franking machines that are used exclusively by you to frank your own items only. Multiple-user machines are not permitted, i.e., those that are available to both you/your employees for business purposes as well as to others who, for example, share your office space.

Domestic and international items (with and without additional services such as Postkarte, Standardbrief until Maxibrief, Blindensendung or registered items) that are suitable for machine processing and franked with a franking machine.

Small DHL packages as well as books and merchandise shipments franked with the franking machine cannot be tracked. 

Mail tracking does not cover those items posted under partial services. Tracking information on these items has been provided to partial service providers as part of our mail tracking partial services offer since January 2023.

Since January 1, 2023, the service "Mail tracking partial services" has been available for items posted under partial services. Detailed information can be found at deutschepost.de/verfolgen-brief-teilleistungen.

You cannot track items handed over to a consolidator using the  "Verfolgen Brief Frankiermaschinen" (mail tracking franking machines) service if the consolidator posts these items together with items from other senders. However, the consolidator can obtain shipment information through the service Mail Communication Services (discounted rate) (Verfolgen Brief Teilleistungen). Please contact your consolidator regarding this issue.

  1. As these items are sorted and scanned manually, recipient signatures cannot be read and displayed for such shipments.
  2. For items with additional services such as registered mail or cash on delivery that are not suitable for machine processing, we recommend integral printing so that the items are displayed in  "Verfolgen Brief Frankiermaschinen" (mail tracking franking machines) with the higher-quality mail tracking function.  

To process your mail items, Deutsche Post uses a range of technology including sorting systems that can read addresses and sort items 100% automatically. The tracking codes on the items are read only by these automatic sorting systems when items are processed. Thus, our system can only register - and thus track - items that can be processed mechanically. Information on these items, once read, can then be displayed in mail tracking. No information is displayed for those items that for whatever reason - e.g., size or format - must be processed manually. We are working on a feature, however, that will be able to provide tracking information on items that cannot be processed by machine.

No. Your franking machine will automatically generate a franking mark with a unique post matrix code that will allow the item to be both tracked and assigned to the proper sender.

We recommend integral printing when you post items with additional services such as registered mail that are not suitable for machine processing.

Tracking data will be provided for the service as soon as an item is processed by a mail center sorting system. New items will be displayed at 7:00 a.m. in "mail tracking franking machines" and those items already displayed will be continually updated.

Item data will be displayed in the mail item list for up to ten days if their status does not change and then automatically archived. Data in the archive can be accessed until expiration of the storage period (21 days for mail items without an additional service, 90 days for those with one). You can store the data on your items even longer by exporting it as a CSV file.

The dashboard is a feature of the mail tracking service. It shows separate information on each of the most important KPIs such as "Aktuelle Sendungen" (current items) or "Aktuelle Sendungen nach Briefprodukt" (current items by mail product). The KPIs will give you a quick overview and allow you to access a pre-filtered mail item list offering numerous details on each item.  

Key performance indicators for domestic and international items are displayed on separate dashboards.

The mail item list helps you to keep track of each one of your mail items. Just like the dashboard, the list has tabs so you can switch between domestic and international views. Information on the recipient, the item status and other details is available for each item and you can download that information if you need to.

As soon as you have concluded an order with Deutsche Post for the use of a new franking machine, the franking machine will be available for selection in the Post & DHL Business Customer Portal. To select, go to "Benutzer verwalten" (manage users) in the Post & DHL Business Customer Portal, then click on the "Verfolgen Brief" (track letter) tab.

For all shipments suitable for machine processing, the recipient's address is scanned and then displayed under "Verfolgen Brief Frankiermaschinen" (mail tracking franking machines). If the address is handwritten and in other exceptional cases, it might not be possible to provide the recipient's (full) address if the information is difficult for the scanner to read.

For shipments that are not suitable for machine processing and that are therefore manually sorted, we provide shipment data but not a recipient signature.

If the data cannot be provided, "not available" is displayed in the respective table cell. This usually only affects the columns with recipient information. It may be the case here that no information can be provided due to handwriting or other reading difficulties. Instead of an empty table cell, "not available" is displayed.

No API interface is available at the present time.

In principle, the scan focuses on reading the name and address. In individual cases, it is possible, however, that other data may be scanned and displayed.

In most cases, you should receive the letter within two to three business days after submitting the request.

The confirmation code is valid for 14 days.

Normally, you should receive a contract confirmation e-mail on the same day that you submitted the request.

Questions about "Verfolgen Brief Freie Sendungsverfolgung" (multi-item mail tracking)

"Verfolgen Brief Freie Sendungsverfolgung" (multi-item mail tracking) is a search function on the Post & DHL Business Customer Portal that enables users to inquire about the current status of up to 50 item numbers simultaneously.

Einschreiben and Einschreiben international (domestic and international registered items), Prio (next day delivery), Nachnahme (COD) items as well as formal delivery orders and items with Internetmarke franking or stamps. Items franked with franking machines can also be tracked, provided that a contract for mail tracking for franking machines has been concluded.

"Verfolgen Brief Freie Sendungsverfolgung" (multi-item mail tracking) is a search function on the Post & DHL Business Customer Portal. It can be ordered here.

Once you have ordered the service and have access to the Post & DHL Business Customer Portal, you can set up an account at geschaeftskunden.dhl.de. To go to the function, click the "Verfolgen Brief" (mail tracking) tab.

Under "Verfolgen Brief" and "Sendungsliste" (item list), select "Freie Sendungsverfolgung" (multi-item mail tracking) to access the service.

The recipient's postal code is entered for the purpose of securing confidential data. It is not necessary to enter the postal code if you stated your customer number (EKP/UCP) when posting the item with a posting list.

  • We recommend that you set up a system user in the Post & DHL Business Customer Portal.
