10.02.2025 - Updating / unlocking the GKP user to use Proactive Reports

To further ensure the provision of proactive reports, we ask you to personalize your user.

How do you find the user created by us?

As your company's GKP customer administrator, you can access the user created by us in the Post & DHL Business Customer Portal (GKP) via the "Manage users" section of your personal menu (drop-down menu at the top right next to your user name). You can identify the user by the following non-personalized standard details:

  • First name: Proactive
  • Surname: Reporting
  • E-mail: noname@dhl.com

 

What to do now?

Step 1: Personalize the user created by us.

  • Search for the user created by us via the "Manage users" section of your personal menu.
  • open the user for editing by clicking on the pencil icon on the right.
  • Enter a first and last name and a valid e-mail address in the fields provided.
  • Make a note of the user name provided, as you will need this for your subsequent login to the GKP.
  • Then click on the "Send e-mail for password" button at the bottom left.
  • Save your changes by clicking on the "Apply" button at the bottom right.
  • An e-mail containing a link to assign a password will now be sent to the e-mail address you have entered in the user account. Click on this link.
  • You will then be taken to a page where you can set the password for the user.
  • After assigning the password, please log in.
  • Important: Then keep your user account active by logging in regularly. After six months of inactivity, your user will be automatically blocked.

 

Step 2: Check the report configurations that we have transferred from the old system to the user we have created.

  • After you have logged in to GKP with the now personalized user, please switch to the "Invoices & Reports" area via the GKP navigation bar -> Proactive Reports".
  • You will find the stored report configuration in the "Manage reports" area.

The reports are correct, but the stored SFTP directory is incorrect or the correct directory cannot be selected?

You can still call up the reports via the GKP. To do this, go to the "Invoices & Reports -> Proactive Reports -> Download Reports" area. If the SFTP directory you require is not available for selection, please get in touch with your sales contact. You will find your personal contacts at the bottom of the GKP homepage.

Step 3: Decide on an option for how you want to continue using the report configurations of the user created by us.

Option 1: Create the report configurations for a GKP user you are already using (recommended).

To avoid having to use an additional user for the report configurations, we recommend that you transfer them to an existing GKP user that you are actively using.

The advantage of creating a new report under an actively used user is that you avoid the risk of a user lock due to inactivity (after 120 days) and the associated suspension of report generation.

Unfortunately, new report configurations can only be created manually. Unfortunately, copying from one user to another is not possible.

Option 2: Permanently use the user created by us and personalized by you.

Of course, you can also permanently use the user created by us and personalized by you in order to use the report configurations stored therein and to be able to make changes to them.

Please note, however, that you must log in regularly (at least once every 120 days) with this user in the GKP to prevent it from being blocked.

(Optional) Step 4: If you transfer the report configurations to another user, delete the user created by us.

If you choose option 1 in step 3, please delete the user created by us after you have recreated the report configurations in another user?


Where can you find help on report configurations and other topics relating to the GKP?
General information and help on the "Proactive Reporting" function, user administration in the GKP and many other GKP contents can be found by clicking on the question mark icon at the top right of the individual pages of the portal.

On Saturday, 22.06.2024, a new version of the "Proactive Reporting" function was rolled out.

This means that the previously announced innovations relating to the "Proactive Reporting" function have gone live (see also "My news" from 18.06.2024).

In addition to these changes to the authorization model, the following functional changes have been implemented:

The "Proactive Reporting" function has been completely revised. Features include the introduction of authorization levels and the ability to configure optional report recipients.

The authorization level determines which shipment details the user can view directly:

  • "Protected shipment details are not included in report files" (e.g. recipient address)
  • "All shipment details are contained in report files".

What is new is that reports can now also be created on consignment information that is not protected. This change supports the principle of data minimization and is a prerequisite for the fact that restricted data can also be released at other ECPs via an authorization.

What needs to be considered?

  • All authorizations and active reports have been transferred. The authorization level for displaying all shipment details - including protected details - is used for the reports.
  • Only the billing numbers that qualify for viewing protected information are stored in the report configuration. Although the authorized billing numbers are configured, they are not automatically transferred to existing report configurations.

When the new authorization concept was activated on Saturday, 22.06.2024, all customer administrators in the GKP (authorizer) were informed by e-mail about the transfer of existing authorizations from the old system. All customer administrators received an e-mail with the subject "Post & DHL Business Customer Portal - takeover of an existing authorization for Proactive Reporting".

In case of complaints regarding missing report files and authorizations or other issues in connection with your report configurations, please contact your sales contact at DHL.

FAQ

Yes, the DHL Delivery Monitor can show you all statistics (shipping volumes, transit times, etc.) retrospectively for all months of the current calendar year. Shipping and return volumes for domestic and international shipments from the year prior are also available in aggregated form, as is a year-on-year comparison.

Example: In July, the DHL Delivery Monitor shows monthly figures for January through July to help you identify trends over time.

No, the DHL Delivery Monitor currently only works on a monthly basis.

Within the Post & DHL Business Customer Portal, the DHL Delivery Monitor contains information for the respective month prior. Within the report, all figures are supplemented with values from all previous months within the current calendar year.

Example: The July report thus contains all figures for January through July. For this reason we recommend saving the December report locally to aid with your annual archiving.

The DHL Delivery Monitor shows cases logged during that month by DHL customer service (and for which DHL was liable during the respective month), broken down by category - loss, damage, COD.

The "Services" overview always displays all domestic and international services. The display is organized based on how the DHL services are billed.

The TOP25 countries are calculated from the cumulative annual volumes per destination country (sorted in descending order).

If you shipped to fewer than 25 countries, then all countries (to which you shipped) are shown in the report.

Proof of sending / Confirmation of arrival

Yes, after admission to the "proof of sending" report, you still have to configure your personalized report as a one-off task.

Under the "Track & Trace" menu item at the top in the red navigation bar, you will see the item "Proactive Reports" in the subsequent navigation area on the left. Under the item "New Report", select the report type "Versendungsnachweis_EKP_ACC".

The report is configured by entering a report name (e.g. "Proof of sending") and selecting the required EKPs and/or invoicing numbers that are to be used in this report. Choosing "Attachment: Send data in MS Excel format" gives you an Excel sheet along with the PDF report and this contains all of the shipments, including sending details, that are also listed in the report.

Once the report has been configured once in this way, it can always be re-selected under the item "My Reports". You can also edit this configuration at any time.

The report is generated on a monthly basis. The report run at the end of the current month provides the shipping data for the previous month.

Example: The report run in February 2017 creates a report containing shipping data for January 2017.

Please note:

The created report is available for you to download every month by the last working day of the month at the latest (but no earlier than the 15th) under "Track & Trace". Your report is therefore not automatically available from the middle of the month.

You only need to configure your reports once. All subsequent reports will then be created in the same manner automatically.

To ensure the required EKP and/or invoicing numbers are included in the current report run, the report must be configured before the 15th of the current month. A completed and active configuration will be used for each further report run and does not need to be re-configured every month.

A "Proof of sending" report may be downloaded under the menu item "Track & Trace". You will see the reports in the left-hand navigation area under the item "Download reports". All of the proactive reports currently available will be automatically listed there in table form.

Clicking the report name starts the download of the required report. Selecting the appropriate checkboxes and the "Download selected reports" button allows multiple reports to be downloaded simultaneously.

All Proactive reports will currently be available to download for a total of 65 days. The crucial date is the date on which the report was created. This can be seen from the date stamp in the download table under "Download reports".

This may be due to a compatibility problem with Microsoft Internet Explorer.

The Post & DHL Business Customer Portal and the "Track & Trace (new)" functions embedded in it for business customers - such as Proactive as a prerequisite for the proof of sending - are optimised for Explorer 6 and 7. Internet Explorer version 8 and later, however, can cause issues with the on-screen display (compatibility problems). Microsoft has therefore introduced the "Compatibility view", which is designed to avoid such problems.

With the compatibility view activated for DHL.de, the table-format display of the reports that are currently available to download will not appear. The current reports then cannot be downloaded.

You can disable the compatibility view in Internet Explorer like this:

  • Open your Internet Explorer
  • Tap or click Tools and then Compatibility view settings.
  • Remove any entries marked "DHL.de" or "dhl-geschaeftskundenportal.de" from the list of websites. Disable the checkbox marked "Include updated website lists from Microsoft" and then tap or click Close.
  • The page, and with it the report, will now be displayed correctly.
