Using our online dispatch systems

DHL Express is committed to preserving the privacy of our website users. When you use our dispatch systems, for security purposes our web servers always save the connection data of the computer connecting to our site, a list of the pages that you visit, the date and duration of your visit, the identification data of the type of browser and operating system used as well as the website through which you accessed our site. We do not record personal data such as your name, your address, telephone number or e-mail address unless you provide these details at your own initiative, for instance, by filling in address fields, address books or as part of contractual performance or enquiry.

Article 6, Paragraph 1 lit. f of the GDPR provides the legal basis for processing the above-mentioned data categories. For these reasons, in particular to ensure security and a smooth connection setup, we have a legitimate interest in the processing of these data.

Google reCAPTCHA

We use the Google reCAPTCHA service which protects our website from spam and abuse. reCAPTCHA prevents automated software (so-called bots) from carrying out abusive activities on the website, i.e., it is checked whether the entries made actually originate from a human being. In order to determine this, the following data are collected and processed:

  • Referrer (address of the page on which the captcha is used)
  • The user’s IP address
  • Google account (if the user is logged into Google, this is recognised and assigned)
  • The input behaviour of the user (e.g., answering the reCAPTCHA question, input speed in the form fields, order of selection of the input fields by the user) is used to improve pattern recognition at Google. Browser, browser size and resolution, browser plugins, date, language setting)
  • Display instructions (CSS) and scripts (Java Script) of the website
  • Mouse and touch events within the website

Google also reads cookies from other Google services such as Gmail, Search and Analytics. All of the above-mentioned data are sent to Google in encrypted form. Google’s subsequent evaluation decides in which form the captcha is displayed on the page - in the form of a checkbox or by entering text. No personal data are read out or saved from the input fields of the respective form.

Processing for advertising purposes

If you are already a customer, your address data (e.g., name, address, e-mail address) will be processed to inform you of our offers, news, products and services. Apart from an existing consent, we shall only process your e-mail address to provide you with information regarding our own and similar products.

Article 6 para 1 lit f of the European Union General Data Protection Regulation (GDPR) provides the legal basis for the above-mentioned processing. The processing of customer data for our own direct marketing purposes takes place within the scope of our legitimate interests.

You have the right to object to this processing at any time. To exercise your right, simply contact us using the contact details above.

If you give your consent, you will receive offers and specific tips on products and information relating to DHL and Deutsche Post AG that are tailored to your interests and preferences through the contact channels you have indicated. Your personal data will be erased or blocked as soon as the reason for retaining it ceases to apply. Data may also be retained for longer periods if statutory retention periods apply. Data processing in the context of using the online dispatch systems

Personal data means any information relating to an identified or identifiable natural person (‘data subject’). This includes information such as your name, address, telephone number and date of birth. Information that cannot be directly linked to your real identity - such as favourite websites or number of users of a site - is not considered personal data.

Registration and a password are required to access the online dispatch systems of DHL Express. Data are entered on an input screen, transferred to us and then stored. These data are not forwarded to third parties. The following data are processed in the context of using the online dispatch systems:

The first and last names of the sender and the item recipient
The e-mail addresses of the sender and the item recipient
The telephone numbers of the sender and the item recipient
If applicable, the fax numbers of the sender and the item recipient
Addresses (country, street, house number, postcode, town/city and, if applicable, additional place name) of the sender and the item recipient
If applicable, function of the account holder
If applicable, comments/references of the customer
If applicable, company name

We process the personal data indicated above primarily to handle your dispatch order. In addition, data may also be processed for the following purposes within the scope of processing customer requests:

  • Creation of a customer account.
  • Acceptance and handling of an item order.
  • Signing up for a service.
  • In the context of security concerns (e.g., for the purpose of solving crime).
  • Compiling statistics.
  • For the purposes of quality assurance, process optimisation and planning certainty.
  • To send you appropriate advertising - if permissible.

The data are processed primarily for performing a contract pursuant to Article 6 para 1 lit. b of the GDPR and if processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party pursuant to Article 6 para 1 lit. f of the GDPR. DHL Express has a legitimate interest in particular in safeguarding smooth process flows, conducting direct marketing for its own products and services and permanently enhancing them.

You have the following rights as the data subject:

a. The right to receive information regarding the personal data we have stored.
b. To have inaccurate personal data rectified.
c. To have data erased or - if retention obligations apply - to restrict the processing of data for the purposes indicated.
d. To receive personal data you have provided in a structured, commonly used and machine-readable format.
e. The right to object if processing your data is necessary for the purposes of the legitimate interests pursued by the controller/to use of your data for advertising purposes/to decisions based solely upon automated processing, including profiling.

DHL Express will not pass on, sell, assign or otherwise disseminate your personal data to third parties - also in the future - unless this is required by law, within the scope of performance of a contract or you have explicitly given your consent.

It may, for instance, be necessary to pass on your address and order details to our sub-contractors when you order products from us. In addition, depending upon the relevant legal provisions, certain item data are transferred to the authorities of the country of transit or destination for customs clearance and taxation purposes or for security checks. This type of data generally involves the sender’s name and address, the recipient’s name and address, a description of the goods, number of items as well as the item’s weight and value.

Customer service and IT services are also outsourced. External service providers who process data on our behalf provide sufficient guarantees to implement appropriate technical and organisational measures to ensure that processing will meet the requirements of the General Data Protection Regulation. Pursuant to Article 28 of the GDPR, they have committed themselves to confidentiality or are under an appropriate statutory obligation to observe confidentiality. In such cases, DHL Express remains responsible for protecting your personal data. The external service providers process the personal data only on the documented instructions of DHL Express.

Transfers of data to third countries means that data are transmitted to countries outside the European Economic Area (EEA) or is accessed from there. You data are also processed in so-called third countries, specifically in your item’s country of destination. This takes place either because it is necessary for performing a contract (for instance delivery, customs clearance), on the basis of our Binding Corporate Rules or EU standard contractual clauses.

We use tracking software to determine how many users visit our website and how often. We do not use this software to collect individual personal data or individual IP addresses. The data are used solely in anonymous and summarised form for statistical purposes and for developing the website.

‘Cookies’ are small files that enable us to store information related to your computer and you, the user, specifically, whilst you visit one of our websites. Cookies help us to determine how frequently our internet pages are accessed as well as the number of users and they help us to configure our offers so that they are as convenient and efficient as possible for you.

There are four exceptions:

1) Eloqua Tracking Cookie. The content of this persistent tracking cookie is limited to an identification number and is generally used in exactly the same way as all of our other persistent cookies. However, if you contact DHL using certain online contact forms in the Logistics content area, your email address is added to the cookie to create an individual profile of your online activities. These same contact forms also provide you with an option to sign up for email marketing updates. By giving your permission, this also allows us to provide you with personalised content, offers or promotions that may interest you.

Should you choose not to sign up for email marketing updates, you will not be contacted in the future and your email address will only be used confidentially by DHL internally to understand your individual online activities. This means that we can still continue to deliver new and improved website content to suit your specific needs.
